Let’s be honest. One of the least exciting parts of learning design is inheriting old training content and decks that nobody wants to touch.

Maybe it is 80 slides. Maybe it is 100. Maybe the content is still useful, but the experience feels dated, overloaded, and harder to fix than it should be. The visuals are tired. The text is dense. The flow reflects how someone used to present the material live five years ago, not how people learn best now.

And that is usually the real problem.

It is not that the training has no value. It is that refreshing it manually can take so much effort that the work starts to feel bigger than the payoff. That is where an AI tool like Gamma can help.

Of course, Gamma is not a replacement for instructional design practices. It is a faster way to take legacy content, restructure it, modernize the presentation, and create a stronger draft to work from. For learning teams sitting on old PowerPoints, PDFs, and internal decks, that can be a very useful shift.

How do you refresh old training content effectively?

A lot of older training content still lives in PowerPoint. That makes sense. PowerPoint has been the default home for onboarding sessions, workshops, compliance reviews, product walkthroughs, and internal knowledge transfer for years.

But over time, those decks tend to grow in all the wrong ways. They become longer, denser, and harder to maintain. Important ideas get buried. Every update creates another version. And eventually the deck becomes something everyone knows needs a refresh, but nobody is excited to own.

For instructional designers, that creates a familiar tension:

The content may still be valuable

The learner experience is no longer strong

A full redesign would take real time and budget

Manually cleaning up every slide often feels like low-value production work

This is where Gamma fits well. It gives you a way to turn an old deck into a cleaner, more modern starting point, so you can spend less time rebuilding slides and more time improving the learning experience itself.

Why Gamma is useful for training teams

What makes Gamma helpful is that it sits in the middle ground.

You do not have to leave the old training deck untouched, and you do not have to rebuild the entire thing from a blank file either. You can import what already exists, let Gamma restructure and restyle it, and then step back in as the designer to refine what matters most.

That matters because the higher-value instructional design work is usually not slide cleanup. It is work like:

Clarifying learning outcomes

Reducing cognitive overload

Improving flow and chunking

Removing unnecessary content

Deciding what belongs in slides versus narration, activities, or job aids

If a tool can reduce the production drag, that gives the designer more room to focus on clarity, usefulness, and learner impact.

How to modernize an old 100-slide deck with Gamma AI?

Imagine you have a training presentation that still contains good information, but it clearly shows its age. It was built for a live presenter. The wording is too heavy. The visuals are inconsistent. There is too much content on too many slides. Nobody wants to present it as-is, but recreating everything from scratch feels excessive.

That is a strong use case for Gamma.

Instead of manually redesigning slide 1 through slide 100, you can import the existing material, choose how Gamma should treat the content, apply a more current visual direction, and generate a new version much faster.

It is not the finished product on its own. It is a much better first draft.

Step 1: Import the old file

From Gamma, click Create new and choose Import file or URL.

This is the feature that makes the workflow especially useful for instructional designers. You are not starting from a prompt and hoping for the best. You are bringing in existing material that already contains subject matter, structure, and context.

Gamma supports common formats like PowerPoint, PDFs, and documents, which makes it practical for the kinds of legacy assets learning teams usually inherit.

Step 2: Choose how Gamma should handle the content

After uploading the file, Gamma gives you different ways to work with it. This is where the tool becomes more than a simple visual refresh.

Transform Content

Choose this when the original deck needs more than a facelift. This is usually the better option when the slides are overcrowded, repetitive, or not structured in a way that supports learning well.

Visual Import

Choose this when the original deck is already fairly solid and you mainly want Gamma to improve the layout and presentation style while preserving more of the original structure.

For older training decks, Transform Content is often the more useful choice because it creates room for actual modernization, not just surface-level cleanup.

Step 3: Review the structure before generating

One helpful part of the Gamma workflow is that it does not force you straight into a final output. You get the chance to review how the imported content is being structured first.

From an instructional design perspective, this matters a lot. Structure is often where old training content breaks down. The content may be accurate, but it is not chunked well, it does not flow cleanly, and it asks learners to process too much at once.

This step gives you a chance to pause and think like a designer again:

What is essential here?

What can be trimmed?

What should be regrouped?

What probably should not be a slide at all?

Step 4: Decide whether to preserve or condense the text

Gamma lets you choose how much of the original wording should carry into the generated presentation.

Preserve keeps more of the original text intact

Condense tightens the content into something more presentation-friendly

This is not just a formatting decision. It is a learning decision.

Many older training decks say too much on every slide. They were often built around the presenter’s script instead of the learner’s experience. Choosing to condense can help reduce cognitive overload and surface the real message more clearly.

If the wording is sensitive, technical, or tightly regulated, preserve may make more sense. If the content is bloated and hard to scan, condense is usually the better path.

Step 5: Apply a cleaner visual direction

Once the content settings are in place, Gamma lets you choose themes, language, and output style.

This is where the old deck starts to feel less like a forgotten internal file and more like something learners can actually engage with. And that matters more than it might seem. A cleaner visual system can improve hierarchy, readability, and attention. It can also make the content feel more credible and more current.

For learning designers, the goal is not just to make it look nice. The goal is to make it easier to understand.

Step 6: Generate supporting visuals if needed

If the original deck is visually weak, Gamma also gives you the option to generate AI visuals and graphics. That can be helpful when older slides are mostly text, rely on generic stock imagery, or have no visual consistency at all.

You can choose models and styles depending on the tone you want. In practice, this can speed up the refresh process and help create a more cohesive draft without sending you off into a separate design workflow right away.

Step 7: Generate the draft, then do the real design work

Once you are ready, Gamma generates the updated presentation. This is the point where you move from legacy content to a cleaner draft that is actually workable.

But this is also where the instructional designer needs to step back in fully.

The generated deck still needs judgment. You still need to look at it through a learning lens:

Are the learning objectives clear?

Does the content still support the right outcomes?

Has anything important been lost or oversimplified?

Should parts of this become narration, practice, or performance support instead?

Is the flow helping the learner, or just looking cleaner?

That is the real balance. Gamma can speed up the transformation, but the instructional design work is still what makes the content effective.

What Gamma does well

Gamma is especially useful when the biggest obstacle is the effort required to modernize old material. It helps reduce the tedious part of the process so the learning team can focus on higher-value decisions.

It works especially well for:

Refreshing old PowerPoint-based training

Turning PDFs or documents into cleaner presentation drafts

Modernizing internal enablement and onboarding decks

Creating a stronger first pass before deeper redesign work

Reducing the time spent manually restyling slides one by one

What Gamma does not replace

It is worth saying clearly: Gamma does not replace instructional design, but rather supercharges it.

It does not know your audience the way you do. It does not fully understand the business context, the performance gap, or the nuance behind what should stay, what should go, and what should be taught in a different way.

What it can do is remove a lot of the friction that keeps valuable content stuck in outdated formats.

And honestly, that is already useful.

Final thoughts

A lot of learning teams are not struggling because they lack content. They are struggling because they have too much old training content trapped inside formats that are painful to update.

If you are sitting on a long training deck that still has value but clearly needs a refresh, Gamma can help you move faster. You can import the content, restructure it, modernize the presentation, and create a much better starting point without rebuilding everything from scratch.

For instructional designers, that is the real win.

Less time cleaning up slides. More time improving learning.

At SkildLabs, that is the kind of AI workflow we care about most: not AI for novelty, but AI that reduces production drag so better learning work can actually happen. You can take a look at our AI Learning category for more insightful articles.

FAQ

Can Gamma AI help instructional or learning designers refresh old training content?

Yes. Gamma can help instructional designers import older PowerPoint, PDF, and document-based materials, restructure them, and create a more modern draft to work from.

Is Gamma AI enough on its own for a learning redesign?

No. Gamma helps accelerate production, but the instructional designer still needs to shape the experience, align it to outcomes, and decide how the content should actually be taught.

What is the biggest advantage of Gamma for learning teams?

The biggest advantage is speed. It can reduce the manual effort involved in refreshing outdated decks so teams can focus more on clarity, relevance, and learner experience. This is a great introductory guide on how to start with Gamma, if your training team is considering it.

There is no shortage of AI avatars right now. New tools keep appearing, the demos look impressive, and almost every platform promises more realism, better voices, and smoother interactions. But once you move past the surface, there is an important distinction to understand: an AI avatar is built to deliver a script, while others are built to actually hold a conversation.

That second category is where things get a lot more interesting.

In this guide, we will walk through how to create and configure a real-time AI avatar using LiveAvatar. More specifically, we will look at how to set up the avatar’s context, pull in knowledge from a website, define a persona, choose voice and language settings, test the experience, and prepare it for embedding into a site or application.

For teams working in product education, customer enablement, onboarding, or AI-first learning, this kind of setup opens the door to a much more interactive experience than a traditional talking-head avatar.

Before you dive into this particular platform, you can also check our general “How to Build Product Knowledge Training That Works in 2026” as a starter.

Why Real-Time AI Avatars Are Different

A lot of avatar tools still follow a familiar model: you pick a presenter, type in a script, generate the video, and publish it. That format is still useful, especially for explainers, updates, and repeatable content. But it is still one-way communication. The below example is from HeyGen.

Real-time avatars work differently. Instead of just presenting information, they respond to user input. That means the experience starts to feel less like watching content and more like interacting with a digital guide, coach, trainer, or support agent. This example below if from LiveAvatar.

That shift matters. If you are building learning or support experiences, the value is not only in how realistic the avatar looks. It is in whether the avatar can respond well, stay on topic, and guide the user through a useful interaction.

Step 1: Open LiveAvatar and Review the Dashboard

Once you log in, you will land on the LiveAvatar dashboard. Here you can see the available avatars, including preset options and custom avatars, depending on your account setup.

This is also where you start to see how the platform is structured. The avatar itself is only one layer. Underneath it, you are really building a combination of visual identity, context, instructions, and conversation logic.

Step 2: Understand the Role of Context

Before choosing the avatar, it helps to understand what actually makes the interaction useful. In LiveAvatar, that begins with Contexts.

The context is where you define what the avatar should know, how it should introduce itself, and how it should behave in conversation. In other words, this is where the experience becomes more than just a face and a voice.

Go to the Contexts area and create a new context.

Step 3: Add an Opening Intro and Core Instructions

Inside the dialog setup, you can define the opening introduction and the main instruction layer for the avatar. Think of this almost like the system prompt behind the experience.

This is where you can clarify things like:

Who the avatar is

What it is meant to help with

What tone it should use

What kinds of questions it should answer

What kinds of questions it should avoid

The more clearly you define this, the better the avatar tends to perform in live interactions.

Step 4: Pull in Knowledge from a Website URL

One of the more useful parts of this workflow is the ability to add knowledge through a URL. Instead of manually copying large amounts of source material into the prompt, you can point the platform to a webpage and let it interpret the content.

Once the URL is added, LiveAvatar crawls the page and produces a summary of the information it finds. That gives you a faster way to ground the avatar in product information, service pages, documentation, knowledge hubs, or other reference material.

If you are building an avatar for product training or customer support, this step can save a surprising amount of setup time.

Step 5: Review the Generated Knowledge Carefully

Once the page has been processed, review how LiveAvatar interpreted the source. This step is important.

Just because the platform can summarize a webpage does not mean you should skip review. Look at the structure, the emphasis, and the overall accuracy of what was extracted. If needed, refine the instructions or add more context so the avatar does not drift or over-generalize.

In practice, this is often where a decent avatar becomes a much stronger one.

Step 6: Complete the Full Prompt

One of the easiest mistakes to make with conversational AI is leaving the instructions too open. A real-time avatar usually works better when it has clear boundaries.

For example, you may want to instruct it to:

Stay focused on a specific topic or product

Avoid answering outside its approved scope

Offer short, direct responses before expanding

Redirect users when the question requires a human follow-up

Use examples only when they support clarity

These guardrails make the experience feel more intentional and more trustworthy.

Step 7: Write with Guidance

LiveAvatar also includes guided options to help you generate persona and instruction content. That can be a useful shortcut, especially when you want a strong first draft before refining the final prompt yourself.

Step 8: Save the Context and Assign It to an Avatar

Once the context is ready, save it and move into the avatar setup. At this point, you can select the avatar you want to use and connect it to the context you just created.

This is the stage where the parts start coming together:

The avatar provides the visual layer

The context provides the knowledge layer

The persona and instructions shape the interaction

Step 9: Choose the Voice and Language

After the avatar is selected, choose the voice and language settings. This may sound like a small detail, but it has a big effect on the final experience.

A strong setup is not just about realism. It is about fit. The voice, tone, and persona should feel aligned with the job the avatar is there to do. A product coach, onboarding assistant, or training guide should not sound random or mismatched.

Step 10: Test the Avatar in Chat Mode

Once the setup is complete, launch the avatar and click Chat Now. The platform will start connecting the experience so you can test it live.

This is where you want to pressure-test the result. Ask real questions. Try common user prompts. Push slightly outside the intended scope. Pay attention to whether the avatar:

Answers accurately

Stays aligned with the persona

Uses the right tone

Handles boundaries well

Feels useful rather than just impressive

That last point matters more than people think. A visually polished avatar is easy to demo. A genuinely useful avatar is what actually earns a place in a real product or learning experience.

Step 11: Use the Embed Option

Once you are happy with the setup, you can use the embed option to place the avatar somewhere else. LiveAvatar provides HTML embed code that can be copied into another site or application.

That makes it possible to bring the experience into a landing page, knowledge portal, onboarding flow, training environment, or product experience.

WordPress Embed Placeholder for an AI Avatar

If you are placing the avatar into WordPress, the easiest option is typically a Custom HTML block. Until your final code is ready, you can use a simple placeholder like this:

<!-- Replace this block with your LiveAvatar embed code -->
<div class="liveavatar-embed-placeholder">
<p>Interactive AI avatar will appear here.</p>
</div>

What This Means for Learning and Product Teams

What makes real-time avatars interesting is not just the novelty factor. It is the interaction model.

For learning teams, this can support more immersive training, simulated roleplay, guided practice, and contextual support. For product teams, it can create a more human-feeling layer for onboarding, product guidance, and self-serve help.

That said, the value does not come from adding an avatar for the sake of it. The value comes from designing the interaction well. Good context, good instructions, good boundaries, and good testing usually matter more than the visual layer alone.

Best Practices Before You Publish an AI Avatar

Keep the knowledge focused: Use the most relevant pages and sources, not everything you have.

Write instructions clearly: Be specific about role, scope, and tone.

Review generated knowledge: Do not assume the imported summary is perfect.

Test edge cases: See how the avatar handles ambiguity, off-topic prompts, and unclear requests.

Match voice to use case: The right voice and language settings make the avatar feel intentional.

Design for usefulness: The goal is not just to look advanced. It is to help people get somewhere faster.

Final Thoughts

Creating a real-time AI avatar with LiveAvatar is not really about building a digital presenter. It is about designing an interactive experience.

When the persona is clear, the context is grounded, and the instructions are well-defined, the avatar becomes far more than a visual layer. It becomes a practical interface for conversation, support, and learning.

And that is where this starts to become genuinely useful.

Frequently asked questions (FAQ)

What is the difference between a scripted AI avatar and a real-time avatar?

A scripted avatar delivers prewritten content, while a real-time avatar responds dynamically to user input during a live interaction.

Can LiveAvatar use website content as a knowledge source?

Yes. In this workflow, you can add a URL and let the platform crawl the page and generate a summary that supports the avatar’s context.

What should I test before publishing an AI avatar?

Test for accuracy, tone, scope control, persona consistency, voice fit, and how the avatar handles questions that fall outside its intended purpose.

When companies grow, they need to train in a timely, compelling, and effective manner. While on-demand learning offers flexibility and convenience, today’s learners are increasingly seeking connection, accountability, and meaningful interaction to stay engaged and motivated. Cue cohort‑based learning—a way to apply structure, shared goals, and teamwork.

This guide explores what makes cohort-based learning distinct, how it differs from traditional on-demand courses, the value of community, the cost implications, and getting started. And we’ll be pulling in data-driven insights to help guide your decisions and sharing tactical tips based on real-world platforms, such as Disco and Circle—similarly, Maven, Mighty Networks, and companies like SectionAI.

Understanding Cohort-Based Learning

Definition & Core Principles

Cohort-based learning (CBL) groups learners who begin and progress through content together. Unlike self-paced courses, CBL utilizes scheduled sessions, such as live calls, group projects, and monitored deadlines, to guide learners.

Core principles include:

Defined start and end dates

Live interaction (e.g., video workshops, peer discussions)

Collaborative assignments

Facilitator-guided learning

How It Differentiates from On-Demand Learning

Feature

On-Demand Learning

Cohort-Based Learning

Learner pace

Self-paced, anytime

Structured, shared schedule

Interaction

Solo engagement

Peer + facilitator interaction

Motivation

Intrinsic, often low accountability

Scheduled sessions + social learning theory in action

Completion rates

As low as 5–15%

Commonly 60–90% with a cohort structure

Feedback loop

Automated quizzes, optional forum

Real-time feedback, active discussions

Community element

Optional, often weak

Central, with peer support

By leaning on social dynamics—peer accountability, scheduled momentum, shared questions—CBL consistently yields higher completion rates. Harvard Business Review highlights that interaction and structure significantly enhance knowledge retention when compared to isolated, self-paced learning.

The Power of Community in Cohort-Based Learning

Why Community Is a Non‑Negotiable Asset

Community brings belonging, accountability, and deeper learning. Studies (e.g., Journal of Educational Psychology) show that learners in interactive environments score higher and retain more , especially when content is reinforced socially.

Benefits include:

Peer learning: Explaining concepts improves understanding

Accountability: Missing a cohort session prompts follow-through

Shared experience: Reduces isolation , which is often found in online learning

Community as a Differentiator

A study in the Online Learning Journal emphasized that peer discussion and social presence contribute more to learning satisfaction than content quality alone.

Real‑World Example: Section AI

Section AI runs its blended AI training via cohort-based live sessions combined with community and projects. Learners cite their cohort as key to pushing through challenging modules,” a testament to the power of structured peer interaction.

Platform Landscape for Cohort-Based Courses

While traditional LMS tools focus on content delivery, today’s cohort-based programs require integrated community and scheduling features. Let’s explore platforms that excel in this space:

Disco

Disco centers on live cohorts. Features include shared calendars, community chat spaces, live call recording, and progress tracking. Its design facilitates a seamless blend of structured learning and conversation.

Circle

Circle is a community platform with cohorts as a core feature. When paired with delivery tools (Zoom, etc.), it enables space for group projects, announcements, content modules, and grouped discussions.

Maven

Maven is built specifically for cohort-based courses. It emphasizes bootcamp and virtual classroom structures, facilitating registration workflows, engagement analytics, and participant networking.

Mighty Networks

Mighty Networks is a holistic solution that merges content, cohorts, events, and community under one roof. Hosts can seamlessly blend evergreen content, scheduled events, and cohort discussions.

Designing a Cohort-Based Learning Program

Cohort programs require planning across six key dimensions:

Curriculum & Scheduling

Define learning objectives and scope

Estimate session count and cadence (e.g., 6–8 weeks, weekly)

Include live workshops, group assignments, and Q&A check-ins

Live Engagement & Facilitation

Assign dedicated facilitators to guide and moderate

Use live sessions for teaching, peer learning, and project work

Keep class size manageable; aim for 20–30 learners

Community Setup

Choose a platform (Circle, Mighty Networks, or Disco)

Segment spaces by week, topic, or project

Establish norms: post-intentionality, participation, and respect

Accountability & Assessments

Weekly assignments with peer/facilitator review

Reflective journaling or creative deliverables

Gamified recognition (badges, announcements, peer kudos)

Technology & Integration

Use platforms that support content delivery, live tools, and discussion boards.

Integrate with your LMS or CRM for tracking.

Ensure accessibility (mobile-friendly, captioned videos, alt text)

Measurement & Iteration

Track metrics like:

Attendance and completion rates

Engagement (posts, assignment submissions)

Feedback (surveys, NPS)

Use cohort results to refine: pacing, session length, facilitator roles, and resource clarity.

Cost Considerations

Like most types of learning, a cost breakdown to develop and deliver a program is critical. Understanding expenses across launch and scale phases helps clarify long-term ROI.

Key Cost Drivers

Curriculum Design: Typically 60–80 hours for a 6–8 week cohort

Facilitator Time: 1–2 hours per week + prep

Platform Fees: Disco, Circle, Maven, Mighty Networks range from $49 to $399+/month

Live Session Tools: Zoom, Webex licenses

Production Costs: Videos, interaction tools, quizzes

Economies of Scale: Cost Per Cohort Goes Down

Once the program is built, content and structure can be reused—dramatically reducing the cost of future cohorts. Here is a sample projection.

Component

1st Cohort

2nd Cohort

3rd Cohort

Curriculum Design

$8,000–12,000

$0

$0

Facilitation (24 hrs)

~$3,600

~$3,600

~$3,600

Platform + Tools

~$300

~$300

~$300

Total

$12k–16k

~$4k

~$4k

By the third cohort, your average cost per run is nearly half of the initial investment.

Return on Investment

Cohort-based learning drives meaningful business outcomes:

Higher learner engagement and completion rates

Group accountability improves skill adoption

Live facilitation enables real-time feedback and support

Peer-to-peer networking adds long-term value

These benefits often translate into faster onboarding, better retention, and increased performance—justifying the upfront investment.

What It Takes to Sustain a Cohort-Based Learning Program

Cohort learning flourishes when it is well-designed, with easy logistics and the right combination of tools brought to bear. Whether you’re building in-house or have found a partner to help organize and establish a cohort, here’s what it takes to support a successful cohort-based training initiative effectively.

Curriculum and Instruction Design

Good cohort-based programs are not simply rehashed content for Zoom — you need to design the instruction intentionally. That means:

Designing around active learning: Think breakout sessions, case studies, and group challenges

Creating a narrative arc: Each module builds toward an outcome, with a clear beginning, middle, and end

Embedding social elements: Prompts for peer interaction, cohort reflections, and group feedback

A well-paced curriculum keeps learners engaged and progressing together, not just passively consuming information.

Tech Stack and Platform Integration

A seamless learning experience depends on the tech stack. You’ll likely need a combination of:

A cohort-focused LMS platform (like Disco, Circle, Maven, or Mighty Networks)

A video conferencing tool (Zoom, Google Meet or Microsoft Teams) for live sessions

Choosing the right stack depends on how structured your program is, and what analytics or automations you want to build into the learner experience.

Content Formats That Drive Engagement

While this is a cohort-based course with live sessions at its core, that doesn’t mean asynchronous content should be ignored—or is off-limits. In fact, blended learning approaches often lead to better outcomes by combining real-time interaction with flexible, self-paced reinforcement.

High-quality asynchronous materials can deepen learning and boost engagement. These might include:

Short-form videos (2–5 minutes) used as live session prerequisites or reflective “homework”

Interactive PDFs or checklists

Peer-reviewed assignments or journals

Discussion prompts posted in the community

The goal is to strike a balance between flexibility and depth, providing sufficient structure to guide learning while fostering interaction and application.

Community Activation and Moderation

Community doesn’t build itself. Set the tone early by:

Onboarding new participants into the cohort with expectations and norms

Assigning moderators or facilitators to answer questions, prompt discussions, and connect learners

Encouraging “warm starts”—small wins or introductions that lower the barrier to engagement

Active facilitation is especially important in the first 1–2 weeks of a cohort, when habits and relationships are forming.

Ongoing Evaluation and Iteration

Every cohort is an opportunity to learn. Strong programs include:

Post-session feedback loops (quick polls, exit tickets)

Mid-program check-ins to gauge energy and satisfaction

Completion analytics (attendance, assignment rates, engagement in community)

Final reflections and NPS to inform future iterations

Use what you learn to refine pacing, facilitation tactics, content flow, and tech setup before launching the next cohort.

Scientific & Industry Evidence

If you have extra time, we highlight recommend you review the following studies that show the power of collaborative and cohort-based learning:

A meta‑analysis in Educational Psychology Review found that collaborative online learning increases knowledge retention by 20% over solo study.

Studies by the Center for Academic Excellence showed peer accountability and live sessions increase completion by 4–5× compared to static content.

Checklist for Launching Your First Cohort

Launching a cohort-based learning program can feel overwhelming, but it doesn’t have to be. Use this step-by-step checklist to stay focused, organized, and on track.

Phase 1: Planning

Define the learning outcome
What should learners be able to do by the end of the cohort?

Choose a course format and duration
Most cohorts run 4–8 weeks with weekly live sessions or activities.

Decide on your ideal cohort size
Aim for 20–30 learners for optimal engagement and peer interaction.

Select a platform
Examples: Disco (best for live cohorts), Circle (community-first), Maven (turnkey cohort tools), or Mighty Networks (community + content).

Phase 2: Content and Community Design

Build a structured curriculum
Outline weekly themes, assignments, discussion prompts, and live events.

Create pre-launch materials
This includes welcome emails, onboarding instructions, and learning goals.

Set up your community space
Organize channels by topic, week, or theme. Encourage early introductions.

Line up your facilitators or moderators
Assign someone to lead live sessions and another to manage the community.

Phase 3: Launch and Engagement

Run a kickoff session
Set expectations, create a connection, and walk through the program roadmap.

Encourage interaction from day one
Use discussion prompts, polls, and peer challenges to build momentum.

Track attendance and participation
Use built-in tools or spreadsheets to monitor engagement each week.

Send weekly recaps and reminders
Keep learners motivated with concise summaries and gentle reminders.

Phase 4: Wrap-Up and Iteration

Collect feedback from participants
Use surveys and optional interviews to understand what worked and what didn’t.

Analyze outcomes
Review completion rates, assignment quality, and engagement levels.

Adjust your curriculum for the next cohort
Refine pacing, simplify materials, or strengthen community guidelines.

Keep the community alive
Encourage alumni to stay connected and consider mentoring future cohorts.

Pro tip: Run a small pilot first. Start with 10–15 learners to iron out the tech and curriculum before scaling.

This checklist ensures your cohort launches smoothly, delivers real value, and lays the foundation for future iterations.

Common Pitfalls and How to Avoid Them

Even the best cohort-based learning programs can falter without the right preparation. Here are some of the most common challenges teams face—and how to sidestep them.

Mistake #1: Overloading the Curriculum

What happens: To maximize value, organizations pack in too much content per week.
Fix: Prioritize application over information. Focus each week on 1–2 key takeaways and include time for practice or discussion. Less is more when it comes to retention.

Mistake #2: Neglecting Community Setup

What happens: You launch content, but learners aren’t talking to each other or showing up to discussions.
Fix: Build structured prompts into every module (e.g., “Share your takeaway in the community”) and assign a facilitator or community manager to spark dialogue.

Mistake #3: Relying Only on Live Sessions

What happens: Learners miss a live session and feel lost or overwhelmed trying to catch up.
Fix: Offer on-demand replays and asynchronous participation options (such as forum prompts or weekly digests). A mix of live and self-paced engagement increases accessibility.

Mistake #4: Not Defining Success

What happens: You finish the cohort, but you’re not sure if it was successful.
Fix: Define your metrics before launch—whether that’s completion rates, knowledge checks, learner satisfaction, or business outcomes. Utilize surveys and analytics to inform and guide improvements.

Mistake #5: Choosing the Wrong Platform

What happens: The tech feels clunky or doesn’t support the interaction you hoped for.
Fix: Match platform features to your goals. Want live sessions with progress tracking? Go with Disco. Want deep community engagement? Circle is a solid bet.

Tools Cheat Sheet

Platform

Strengths

When to Choose

Disco

Built for live cohort learning, engagement tools

You need tight live content scheduling

Circle

Community-first with cohort groupings

You want robust group discussions

Maven

Cohort-native with analytics

You run bootcamp-style courses

Mighty Networks

All‑in‑one content, events, and community

You want evergreen + cohorts

Add-ons: Zoom, SCORM resources, Slack/MS Teams (optionally).

Ready to Launch? Take the Next Step

Your Next Move

Cohort‑based learning offers structure, community, and accountability—the missing ingredients for learning that sticks. Whether your goal is employee onboarding, leadership training, or customer education, a successful cohort starts with these fundamentals:

Well‑designed curriculum

Engaged facilitators

Community-first platforms

Data‑driven iteration

In this guide, we’ll explore some of the most common LMS pricing models in use today, uncover hidden costs, and help you make the decision that is right for your budget and growth strategy.

What does LMS Pricing refer to?

LMS pricing refers to the method by which as Learning Management System (LMS) charge their customers for using their platform and services. Now, you might think that’d be simple enough, but LMS pricing tends to be one of the more confusing factors when it comes to purchasing or even adopting an eLearning platform.

Why? Because what looks like a simple “monthly fee” can mask multiple cost layers—user access, course limitations, feature restrictions, bandwidth caps, admin seats, storage, and more. Without understanding the complete breakdown, it’s easy to overestimate the total cost and unnecessarily pay for features you don’t use, or underinvest in capabilities you need.

Let’s break it down.

The Three Layers of LMS Pricing

While every LMS brand has its own unique pricing page (and some hide it altogether), most platforms structure their pricing around a combination of the following components:

1. License or Access Fees

This is the baseline cost you pay to “use” the platform. It may be charged:

Per month or per year

Per user or per organization

By tier (basic, pro, enterprise)

This license typically gives you access to the core LMS environment—user management, basic content uploads, and basic reporting. Higher plans may unlock branded experiences, advanced analytics, or integrations.

2. Usage-Based or Activity-Based Costs

Even with a license in place, you may encounter variable fees based on:

Number of active users per month

Storage or bandwidth used (especially for video-heavy courses)

Number of courses or lessons hosted
Certificates issued, quizzes taken, or emails sent

These usage-based costs are often hidden in the fine print and can lead to budget overages if not tracked carefully.

3. Setup, Implementation & Support Costs

Often labeled as “professional services,” these can include:

Data migration from another LMS

Custom branding or UI work

Administrator onboarding & training

Integration with your HRIS, CRM, or website

SCORM, xAPI, or AICC compliance setup

Not all LMS vendors include these services in their licensing fees. Some may offer them at additional hourly or project-based rates, while others include setup for free for enterprise-level subscriptions.

Transparent vs. Vague Pricing Models

Some LMS providers clearly outline their pricing and include online calculators (especially those targeting small businesses). Others require you to request a quote, particularly if they tailor pricing based on your organization’s industry, size, and needs.

Transparent Pricing = easy comparison, but may lack flexibility

Vague Pricing = customized, but harder to benchmark without expert support

This is where a tool like our free LMS Advisor can be a great place to start your research—it helps organizations decode pricing complexity and match pricing models to their actual training goals.

Common Misconceptions About LMS Pricing

Let’s address a few myths we hear all the time:

Misconception

The Reality

“Free LMSs are just as good.”

Free or open-source Learning Management Systems (LMSs) often lack support, require self-hosting, and demand technical knowledge for setup, customization, and ongoing maintenance.

“We’ll only pay for what we use.”

Not always. Some platforms bill based on registered users, even if they don’t log in. Others charge flat monthly fees regardless of activity.

“All LMSs support SCORM and AI tools.”

Not true. SCORM support and integrations with AI-based course creators or analytics dashboards are usually premium-tier features.

“It’s just plug and play.”

Most LMSs are not out-of-the-box ready, still requiring setup, migration, curriculum development, and integration services that are not generally included within base pricing.

Knowing about these nuances in advance can save you time, money, and headaches later, and puts you in a position to select an LMS that genuinely supports your training goals, rather than simply one that fits your budget on the surface.

LMS Pricing vs. LMS Value

Finally, it’s essential to separate price from value. A platform that appears expensive may deliver significant returns in engagement, completion rates, and learner satisfaction, especially when paired with high-quality instructional design and learner support services.

The best LMS is one that supports your goals without unnecessary complexity or cost creep.

That’s why an LMS platform helps you plan for content development, support, and integration so you understand the actual price of launching a professional training program.

Now that we’ve demystified what LMS pricing entails, let’s explore why it’s so critical to choose the right pricing model from the start.

Why LMS Pricing Models Matter

1. Eliminate Budget Surprises

What seems affordable initially, like a low per-user price, can balloon when your learner count climbs or when you add higher-tier features like certifications, gamification, or advanced analytics.

2. Align Payment with Value

Some pricing models allow you to pay only for active learners or specific course features that you use. Others make sense for organizations with consistent, high-volume training.

3. Support Organizational Growth

Different pricing models scale better with growth. An inflexible plan may hinder expansion or necessitate disruptive platform migrations.

Common LMS Pricing Models & How They Work

1. Per-User (Subscription-Based Pricing)

Structure: You pay a flat fee for each active user per month or year.
Example: $10/user/month × 500 users = $5,000/month.

Pros ()

Simple and predictable

Ideal for organizations with steady training needs

Cons ()

Costs ramp up quickly as user count grows

Inactive users still count toward the cost.

Ideal for: Small teams with predictable monthly or annual training volumes.

2. Tiered or Feature-Based Subscription

Structure: LMS packages include essential features at a base level, with premium capabilities (e.g., integrations, certifications, SCORM compliance) available at higher tiers.

Pros ()

Choose the level that matches your feature needs

Ability to upgrade as requirements evolve

Cons ()

Upgrades may introduce steep cost increases

Need to carefully map features to your actual needs

Ideal for: Growing organizations starting small but planning to adopt richer functionality over time.

3. Per-Course or Per-Offering Pricing

Structure: Charges based on how many courses you host or launch per period.

Pros ()

Good alignment of pricing with educational output

Easy scaling for a variable number of courses

Cons ()

It can become expensive if you host many short or microlearning modules

Complexity arises when courses have vastly different audiences

Ideal for: Companies that run a few high-value, evergreen courses or pay-per-use training.

4. Active vs. Registered Learner Pricing

Structure: Fees apply only for learners who engage in training (e.g., watch a module, complete an activity). Inactive registrants don’t count toward pricing.

Pros ()

Cost-effective for seasonal or batch training

Avoid paying for unengaged users

Cons ()

Engagement thresholds must be clearly defined

Usage tracking must be accurate.

Ideal for: Organizations with cyclical training needs (e.g., onboarding every quarter) and want to optimize costs around actual engagement.

5. Flat-Fee (Unlimited) Pricing

Structure: Fixed price—monthly or annually—for unlimited users and features.

Pros ()

Scales effortlessly

Avoid per-user or per-course billing headaches

Cons ()

Higher upfront cost

Risk of paying for unused capacity

Ideal for: Mid-sized companies with consistent usage and growing user bases.

6. Credit-Based or Consumption Pricing

Structure: A marketplace-style model where you purchase “credits” that correspond to specific actions, like launching a course, issuing a certificate, or sending notifications.

Pros ()

Highly flexible

Aligns spending to actual usage

Cons ()

Harder to predict monthly costs

Credit valuation models can be vague.

Ideal for: Organizations with highly variable training demands or ad-hoc deployments.

Hidden Costs & Total Cost of Ownership (TCO)

To compare pricing models fairly, analyze the Total Cost of Ownership (TCO) over time. Consider these often-overlooked expenses:

a. Onboarding & Implementation

Platform setup and configuration

Course migration from legacy systems

Integration with HRIS, CRM, or website

b. Instructional Design & Platform Customization

SCORM-compliant development and testing

Branding, UI/UX design, and accessibility support

Multimedia production—video, animation, interactivity

c. Technical Support & Training

Admin training costs

Time spent troubleshooting or addressing learner issues

Outcome-driven success coaching

d. Maintenance, Upgrades & Hosting

Software updates and bug fixes

Hosting costs (cloud vs. on-premise)

Data backup, security, and compliance

How Different Organizations Should Evaluate Models

Organization Type

Ideal Pricing Model(s)

Rationale

Small Team / Startup

Active-Learner or Flat‑Fee

Keeps costs tied to actual usage, with simplicity

Scaling Company (100–1,000 users)

Tiered Subscription or Per‑User

Growth-aligned scaling with feature flexibility

Mid-Sized Org with Seasonal Training

Per-Course or Active Learner

Pay when you roll out training; idle periods saved

Nonprofit or Budget-Constrained

Flat‑Fee or Credit-Based

Value-aligned cost for maximum impact

Enterprise with Complex Needs

Tiered Plus Feature Add‑On

Only pay for high-end features you need

Real-World Cost Scenarios: Breakdowns & Comparisons

Scenario 1: Startup with 150 Employees

Per‑User Model:
– $10/user/month × 150 = $1,500/month, $18,000/year

Active‑Learner Model (40% active/month):
– $10/user = $600/month, $7,200/year

Flat‑Fee (Unlimited Users):
– $2,000/month, $24,000/year

Savings with an active-user model can exceed $10k annually during early-stage scaling.

Scenario 2: Mid-Size Org (+1,000 users) Rolling Out Seasonal Onboarding

Per-Course Pricing:
– $500/course × 8 courses = $4,000 per session
– Two seasonal rollouts = $8,000/year

Tiered Subscription:
– $8/user/month × 1,000 = $8,000/month = $96,000/year
A per-course model saves significantly if the content is fixed and reused.

Key Considerations When Comparing LMS Pricing

Pricing Flexibility & Growth Alignment
Will your organization scale quickly? Choose a model that doesn’t penalize growth.

Feature Justification
Only pay more if features add measurable value. Compare tiers carefully.

Hidden Costs
List out onboarding, integrations, design, support, and maintenance expenses upfront.

Billing Transparency
Look for clear, line-item breakdowns and predictable invoicing.

Contract Terms & Auto-Renewals
Avoid long-term lock-ins and watch for auto-renew fees or exit charges.

Support & SLA Options
Basic support often leaves the critical fix or help time undefined. Understand the support model.

The Role of Instructional Design Agencies in LMS Pricing

Selecting pricing and license models is only half the battle. You’ll also need high-quality content that aligns with the methodology and platform. This is often not provided by the LMS provider, but they might have partners who can help with:

Custom eLearning Development & Curriculum Design: Convert complex knowledge into concise, structured learning experiences.

SCORM-Compliant Builds & LMS Integration: Develop fully tested content that works seamlessly on any major Learning Management System (LMS).

Rich Interactive & AI‑Enabled Content: Utilize tools like Articulate 360, Synthesia, Canva, and other AI-powered video to create engaging and memorable training.

Rapid Onboarding & Brand Customization: Spin up your academy quickly with branded designs and professional polish.

How to Forecast Your LMS & Content Budget

Define Your Scope

Learner count

Frequency of courses (ongoing vs. seasonal)

Feature needs (certifications, integrations, assessments)

Identify the Most Cost-Effective Pricing Model

Active learner, per-course, flat fee, or tiered?

Estimate Course Development Costs

Custom content can range widely (~$5,000–$25,000 per course).

Microlearning modules cost less (~$1,000–$5,000).

Add Platform & Tech Costs

LMS pricing + onboarding + integrations

Include Support & Maintenance

Admin training, content updates, system upkeep

Run Total Cost Comparisons

Compare TCO across 12–24 months. Be transparent with decision-makers.

Summary: Matching Model to Mission

Per-user pricing is clean and grows predictably

Active-learner models save money when training utilization is low or bursty

Per-course pricing works well for batch-specific content

Flat-fee plans benefit high-volume, high-stability organizations

Tiered models let features and costs scale together

Credit-based models offer ultimate flexibility with variable usage

Combined with instructional design support, these pricing models power cost-effective, ready-to-launch learning solutions.

Creating training has always been complicated, costly and time consuming. Sometimes that single module took entire instructional design teams, SMEs, video editors, voice talents, or eLearning developers to get to the finish line. But the world is different now — and quickly so.

AI is changing the game when it comes to how training content is created, delivered, and exchanged. In fact, many of the tools now adopted by instructional designers and other learning professionals are all about tenfold (or more) accelerating time to completion on a project, reducing the time it takes to build something from a week to a day (or even an hour), not just amping the overall quality.

Organizations are leading the charge in this revolution, providing custom eLearning development services that use AI to enable small businesses, startups, and nonprofits to create cutting-edge training content quicker and more professionally.

This article takes a closer look at how AI tools are shaping eLearning—from the brainstorming and scripting stage to voiceovers, video avatars, interactive testing, and SCORM packaging—and answers important questions such as:

How much does it cost to create an online course today?

What AI tools are worth investing in?

How do you ensure your training remains engaging and effective?

What’s the best LMS for a small business?

Let’s get started.

AI Tools for Developing Training Programs

But before we get into the details of how AI speeds up development and makes it more efficient, let’s take a look at the types of AI tools that exist today and see how they are being used in the various stages of the course creation pipeline. From planning to print, AI is not a novelty anymore — it is part of the foundation.

1. Content Ideation & Scriptwriting Tools

Instructional designers used to start from scratch when outlining a training course. Today, AI-driven tools like ChatGPT, Jasper, and Copy.ai can help generate:

Course outlines based on a learning objective

Training scripts and dialogues

Summaries and key takeaways from existing documents

Icebreakers, discussion prompts, or quiz questions

These tools are especially helpful for non-writers or subject matter experts (SMEs) who need help translating technical knowledge into learner-friendly language.

Example Workflow

Prompt ChatGPT: “Create a beginner-friendly outline for a sales onboarding program for SaaS.”

Receive a 6-module structure within seconds.

Use it as a foundation to build your training assets.

2. Voiceover & Narration Generators

Once you have a script, AI can step in to produce the narration.

Tools like ElevenLabs and WellSaid Labs use neural networks to clone realistic human voices—often indistinguishable from professional voice actors. Features often include:

Accent selection

Tone customization

Multi-language support

Pausing, emphasis, and inflection control

This step alone used to take days of coordination, recording, and editing. AI narration tools now make it possible in under 15 minutes.

3. AI Video Creation Tools

If you’re building an onboarding video or explainer module, you no longer need expensive cameras or editing suites.

Platforms like Synthesia, Veed.io, and Pictory allow you to:

Select an AI presenter/avatar

Add your script for narration

Upload brand visuals or slides

Export HD videos ready for LMS use

You can also localize these videos for global teams by simply changing the language input—no need to recreate the visuals or re-record.

4. Automated Instructional Design & Authoring

Tools like Articulate 360 (especially the new AI Assistant), Rise, and Adobe Captivate now integrate AI to speed up content formatting and instructional scaffolding. They can:

Recommend assessments for each learning goal

Auto-populate templates with sample content

Suggest visuals and interactions based on text input

This is particularly useful for teams that know what they want to teach but aren’t sure how to translate it into engaging eLearning content.

5. Assessment & Feedback Automation

AI can also assist in

Auto-generating quizzes from existing course material

Providing real-time feedback based on learner responses

Analyzing learner data to adjust future training content

For instance, some platforms like Docebo, LearnUpon, or 360Learning offer built-in AI analytics that adapt content paths or suggest reinforcement learning materials based on performance.

6. Localization and Accessibility Tools

Translation and accessibility used to be major time sinks. AI has significantly eased this burden with:

AI-powered translation engines that maintain context and tone

Auto-captioning and screen reader optimization

Synthetic dubbing into multiple languages without re-recording

These tools ensure your training programs meet compliance requirements and are usable by a global, diverse workforce.

With these tools in place, you’re no longer building training from scratch. You’re assembling it intelligently—choosing the right components, customizing as needed, and focusing your team’s energy where it matters most: engagement, accuracy, and results.

Why Speed Matters: AI’s Impact on Content Production and Prototyping

In the traditional course development cycle, each phase—content writing, scripting, narration, animation, LMS setup—could take days or even weeks. But with AI tools now automating major chunks of that process, we’re seeing a shift toward rapid prototyping and iteration.

Old vs. New Workflow

Phase

Traditional Development

AI-Powered Workflow

Scripting

2–4 days

30 minutes using AI copywriting tools

Voiceover Recording

3–5 days

Instant using ElevenLabs

Video Production

1–2 weeks

1 day with Synthesia

Interactive Elements

Manually coded

Auto-generated via Articulate AI

Localization

Expensive + time-heavy

AI auto-translation in 120+ languages

Sources: ElevenLabs, UpWork, Fiverr, Synthesia

Net result: Training content that used to take 6–8 weeks to build can now be delivered in 1–2 weeks with the right AI-enhanced workflows.

That speed matters—especially for growing organizations dealing with team expansion, new customer onboarding, or compliance deadlines. AI isn’t just speeding things up—it’s helping businesses scale training without scaling their teams.

Lumen5: Convert blogs into video content

The Economics of Smart Training: How AI Reduces Costs

How Much Does It Cost to Create a Training Program?

We have spoken and written at length about the cost of course development, but AI has definitely impact the instructional design world. In our experience, creating a fully polished 1-hour course traditionally requires approximately 60 to 260 hours of work, costing between $5,450 USD to over $13,500 USD, excluding the Subject Matter Expert (SME) fees.

Average cost of 1-hour course traditional development (USD)

$5,450 – $13,500 depending on length, complexity, and media.

With AI-enhanced workflows (in USD)

$3,000 – $12,500 for similar quality, length and often delivered faster.

Here are a few specific tasks that AI has had the biggest impact on:

Cost Factor

Traditional (USD)

AI-Supported (USD)

Voiceover (1 hr ~ 8,500 words)

$1,500+

<$100

Video Editing (5 min)

$3,000+

<$100

Localization (8,500 words / language)

$2,000+

<$100

Sources: ElevenLabs, UpWork, Fiverr, Synthesia

As you can see, AI doesn’t just speed up production—it can slash budgets by 30–50% while maintaining high production value.

AI ≠ Cutting Corners: Ensuring Quality and Engagement

One of the most common concerns we hear is, “Won’t AI make our training feel robotic or low quality?”. In the early days of the AI revolution, the answer was yes. The output produced by a lot of AI-enhanced eLearning tools was poor, but things have caught up fast. The answer now is…

Not if you use the tools strategically. Here’s how AI-powered instructional designers can maintain quality:

Blended Intelligence

SMEs still shape the content.

Instructional designers fine-tune flow and pedagogy.

AI handles repetitive tasks, formatting, and multimedia generation.

Engagement-First Design

Tools like Articulate Rise, LearnWorlds, and Adobe Captivate let you embed:

Interactive scenarios

Simulations

Gamification

Micro-assessments

Branching logic

These work seamlessly with AI-generated content and avatars.

Accessibility and Inclusion

AI tools now support

Real-time subtitles and transcripts

Screen-reader friendly formatting

Diverse voices and avatars

Multi-language delivery for global audiences

Bottom line: AI helps you create content that’s faster, cheaper, AND better—as long as you use it intentionally.

Building Smarter, Faster, and More Affordable Training Starts Now

AI tools aren’t replacing instructional designers—they’re amplifying them. And that’s good news for any organization that needs to create training programs quickly, cost-effectively, and at scale. By combining AI tools like Synthesia, ElevenLabs, and Articulate AI with a strategic partner like SkildLabs, you can:

In the digital training world, compliance is the foundation for scalability. Whether you have a new hire to onboard or a few thousand customers to educate, your training program needs to function seamlessly across devices and platforms.

This is where SCORM—Shareable Content Object Reference Model—comes into play. This set of standards ensures that your content is shareable, trackable, and reusable across any SCORM-compliant LMS.

SCORM was created by Advanced Distributed Learning (ADL) for the U.S. Department of Defense to help the entire military share training content. But its impact has gone far beyond that. Today, it’s used globally in corporate training, higher education, non-profits, and government programs.

However, understanding SCORM isn’t just for instructional designers. If you’re:

An HR lead at a fast-growing startup

A Customer Success Manager at a scale-up

A Director of Operations trying to standardize knowledge…

…you need to understand what SCORM is and why it matters — because your training program’s reliability and data-tracking capabilities depend on it.

What is SCORM?

SCORM is a collection of standards and specifications adapted to enhance the accessibility of e-learning content on LMS. It defines how eLearning content is to be packaged and delivered to run on different systems with uniform quality. In short, SCORM allows content authors to create courses that can be easily shared and tracked across different SCORM-compliant LMS systems.

This is a sample of the SCORM-compliant eLearning experiences we create at SkildLabs.

Key Components of SCORM

Content Packaging: Defines how content is structured and packaged for delivery.

Run-Time Communication: Manages the interaction between the content and the LMS during course execution.

Sequencing: Determines the order in which learners navigate through the content

SCORM Explained: Why it Matters in Today’s Digital Learning Ecosystem

Let’s look at why SCORM remains one of the most important terms in custom eLearning development:

Interoperability

SCORM’s core value lies in its ability to ensure consistent playback and functionality of a course across any SCORM-compliant LMS, regardless of the vendor. In simpler terms, it acts like a universal language that both your course content and LMS can understand.

Why is this important?

For example, suppose you build an extensive onboarding course for new employees in Articulate Storyline. If, later, your company chooses to migrate from LearnWorlds to TalentLMS, you don’t need to create the course all over again. You can easily upload the SCORM package to the LMS, and you can be sure that it will work the same way.

Without SCORM, you’d risk:

Content breaking during LMS migration

Losing access to analytics and tracking

Reinvesting time and budget to rebuild your entire program

Business takeaway

SCORM protects your training investment by making your content portable and future-proof. It gives you the flexibility to switch LMS platforms as your company scales or your needs evolve, without getting locked into a single ecosystem.

Reusability

One of SCORM’s smartest features is the concept of “Sharable Content Objects” — hence the “SCO” in SCORM. These are stand-alone activities that can be employed in other courses or learning journeys.

What would this actually mean?

Let’s say you’ve built a “Code of Conduct” course for new hires. That same module might also apply to:

Contractors

Interns

Compliance refreshers for long-term staff

Instead of recreating this content each time, SCORM allows you to plug the same module into multiple courses. You can track each learner’s progress individually, but you only have to maintain one version of the content.

This modular approach:

Reduces production time

Minimizes versioning issues

Increases consistency in messaging across departments

Business takeaway

Reusability in SCORM saves both time and money, especially for organizations training different audiences on overlapping topics. It also supports agile course development, where content can be updated once and reflected everywhere it’s used.

Sequencing & Navigation

One of the major innovations in SCORM 2004 was the inclusion of “Sequencing Rules.” These rules cover how students progress through a course, what order they should see content in, and what they must complete before they unlock the next module.

Here are some real-world use cases:

Conditional Navigation: Learners must complete a quiz with at least 80% before advancing.

Branching Scenarios: Based on quiz answers, learners are directed to different learning paths (e.g., novice vs. advanced).

Locking Content: Prevent users from skipping around. You can require sequential progress — great for compliance training.

SCORM sequencing supports:

Linear flows (Module 1 → Module 2 → Final Quiz)

Non-linear flows (Choose-your-own-path learning)

Dynamic adaptation based on learner input

Why it matters

Sequencing adds instructional integrity to your courses. It makes sure that learners interact with content the way your design team wants them to. This is especially important in industries that are highly regulated or where understanding of one concept must be learned before moving on to another.

Business takeaway

You can create smarter learning experiences with sequencing, not just slideshows. You are the commander of the pace; you repeat key information and minimize the risk of people skipping forward without grasping the material.

Tracking & Reporting

Learning Management Systems (LMS) can track numerous learner metrics within SCORM-compliant courses. This isn’t just vanity numbers – it means you know how to get better, can track effectiveness, and ensure accountability. Here’s what each tracked element means:

Completion Rates

This tracks whether a learner has finished the course or specific modules within it.

Why it matters

High completion rates may mean your content is engaging, easy to consume, and has good structure. Low rates may signal confusion, content fatigue, or usability issues. For compliance-driven training (e.g., workplace safety or data privacy), completion is often mandatory and legally required to be documented.

Test Scores

This records quiz or assessment results built into the course, including pre-tests, post-tests, and checkpoint quizzes.

Why it matters

Scores help you measure knowledge retention and training effectiveness. They can show whether learners understood the material or need follow-up. For certification-based training, passing scores are often required to “complete” a course or to generate credentials.

Time Spent on Each Module

This logs how much time each learner spends on specific modules or sections.

Why it matters

It can also show when learners are jumping too fast through the material or getting hung up. This can help with troubleshooting which elements of your training might need to be split up, made more interactive, or simplified. It also prevents “check-the-box” learning, where users click through without engaging.

Learner Progress Over Time

This tracks how a learner is progressing through the material, if they are breezing through, taking pauses, and coming back to a particular section.

Why it matters

Monitoring of progress is important for learning behavior. It can enable managers to step in early if a team member is lagging or spot fast performers to mentor. In customer education, it also helps measure onboarding velocity and time-to-value.

A Deep Dive Into the Evolution of SCORM

Understanding SCORM means knowing how it has evolved over time. Here’s a timeline that outlines the key milestones:

SCORM 1.1 (2001)

The first version laid the groundwork but had limited support. It was primarily a proof of concept.

SCORM 1.2 (2001–2004)

Became the most widely adopted version, still in use today.

Introduced runtime communication (between LMS and course)

Basic tracking: score, pass/fail, completion

SCORM 2004 (Released in editions: 2nd, 3rd, and 4th)

Introduced “sequencing and navigation”, which allowed branching logic.

Better error handling and reporting standards.

Used in more complex, multi-module learning environments.

However, SCORM 2004’s adoption was limited due to complexity, bugs in LMS implementations, and the emergence of new standards.

xAPI (Tin Can API): The Next Step in Learning Data

SCORM’s limitations — especially in today’s mobile, offline, and multi-device world — led to the development of xAPI (also known as Tin Can API).

Unlike SCORM, which only tracks LMS-based learning, xAPI tracks learning wherever it happens — online or offline.

xAPI in Action

Let’s say your employees:

Attend an in-person workshop

Watch a YouTube tutorial

Participate in a sales roleplay

Complete a mobile training app offline

With SCORM, none of that learning would be recorded.

With xAPI, all of it is.

Each action is logged as a “statement” in the format:
[Actor] [Verb] [Object]
E.g., “John completed cybersecurity training.”

These statements are sent to a Learning Record Store (LRS), which can exist independently or alongside your LMS.

Advantages of xAPI

Tracks all learning experiences, not just courses

Enables personalized learning analytics

Device-agnostic and mobile-ready

Easy integration with wearable tech, simulations, and VR

Disadvantages of xAPI

Requires technical setup: You’ll need an LRS, potentially custom APIs

Not all LMS platforms support it out of the box

Higher cost of implementation for small teams

Despite the extra effort, xAPI is worth considering for companies scaling global training or wanting deeper analytics across diverse touchpoints.

SCORM vs. xAPI: Which One Should You Use?

Feature

SCORM

xAPI (Tin Can)

LMS Required

Yes

No

Offline Support

No

Yes

Tracks Informal Learning

No

Yes

Data Depth

Limited (pass/fail, completion)

Granular (actions, time, behavior)

Implementation Complexity

Low

Medium to High

Mobile Friendly

Partially

Fully

When to Use SCORM

You want fast, standardized LMS compatibility

You don’t need deep analytics or mobile tracking

You’re producing basic onboarding or compliance content

When to Use xAPI

You want to track real-world or blended learning

You need personalized analytics

You’re investing in advanced tools like VR, simulations, or AI

The Rise of AI-Powered LMS and Their Custom Learning Engines

Thanks to AI and orchestration tools, modern LMS platforms are evolving beyond just content hosting. Today’s best LMSs offer built-in learning engines powered by machine learning, allowing:

Personalized learning paths

Smart content recommendations

Automatic assessment generation

Predictive analytics on learner performance

Examples

Docebo uses AI to recommend content based on user behavior.

LearnWorlds includes auto-transcription and interactive video features.

360Learning allows collaborative course creation with in-built AI-powered tools.

These platforms help small teams deliver enterprise-level learning experiences without building everything from scratch.

How to Create a SCORM-Compliant Online Course

Creating an effective SCORM course isn’t just about exporting a file — it’s about designing for compliance, engagement, and outcomes.

A few tools We Use at SkildLabs:

Articulate Rise & Storyline: For interactive, SCORM-compliant modules

Navigating the world of course marketplaces and e-learning can get overwhelming, especially if you are an aspiring instructor looking to publish your first course. There is so much to consider. This guide will help you understand the landscape and find the right home for your courses.

Before diving into the marketplaces, it’s important to understand the difference between a Learning Management System (LMS) and a course marketplace. This distinction will shape your strategy for delivering, pricing, and organizing your expertise.

What Is the Difference Between a Learning Management System (LMS) and a Course Marketplace?

A Learning Management System (LMS) is used by organizations or individuals to create, deliver, and track training programs. It’s best suited for structured learning within an institutional or corporate setting, and importantly, an LMS does not come with a built-in student base. This means you’re responsible for marketing and attracting learners yourself, but in return you typically keep most of the revenue.

In contrast, a Course Marketplace is a large online platform where many learners browse and enroll in courses offered by various instructors. Marketplaces are ideal for self-directed learners seeking specific skills or knowledge. As an instructor on a marketplace, you can focus on building content and teaching while the platform handles much of the marketing, infrastructure, and audience – though they will take a share of your course revenue.

If you’re an expert looking to share and monetize your knowledge with eager learners worldwide, consider applying to be an instructor on one of these top course marketplaces. Each platform provides a unique set of tools and audiences to help you make an impact.

The Top 12 Best Online Course Marketplaces for Instructors

Below are 12 popular online course marketplaces (in no particular order) that accept instructor applications or proposals, updated with their status in 2025. We’ll cover what each platform specializes in, how to apply as an instructor, and any key points about being an instructor there.

DataCamp is for instructors enthusiastic about data science and technical content.

Pluralsight is for experts who can help companies and teams enhance their tech skills and innovate with artificial intelligence.

Skill Success is for instructors who are looking for a broad audience.

LinkedIn Learning is the perfect platform for teaching both technical and creative skills and contributing to corporate learning paths.

Domestika is the perfect home for teaching vibrant creative skills and tools.

1. DataCamp

DataCamp actively recruits subject matter experts with a passion for teaching. They often have a “wishlist” of course topics they want, and you can apply by submitting an online form with your background and a proposed course outline. If your outline aligns with their needs and is approved, the next step is an audition: you’ll be asked to create a 3–5 minute screencast video teaching one of the concepts from your course. This lets DataCamp evaluate your teaching and presentation skills. If that goes well, you’ll move on to a contract and the full course development phase.

DataCamp often reaches out to potential instructors (through channels like LinkedIn) when they spot qualified experts, but you can also proactively apply via their instructor application page. As of 2025, DataCamp continues to expand its library (500+ courses) in data science and AI, so they are very much open to new instructors who can cover in-demand topics. The platform handles the tech side (interactive coding environment, exercises, etc.), allowing you to focus on content. Successful DataCamp instructors typically have strong data science skills and some teaching or communication experience.

2. Pluralsight

For those looking to share their expertise through Pluralsight, the platform offers opportunities to create video courses, assessments, and hands-on labs. As a Pluralsight author, you can educate a global audience, build your brand as a tech expert, supplement your income, and make an impactful contribution to the world of technology. To begin your instructor journey, you can get in touch with their team through the Pluralsight teaching page.

3. Skill Success

Skill Success provides a diverse collection of courses, which means the world is your oyster as an instructor. Take advantage of this website’s broad audience and feel free to launch several different genres of courses on this platform. To apply to start a course, you need to provide a compelling description of your proposed course and outline your course clearly. You also need to submit a link to a website, drive, or folder where a video sample of your course can be reviewed by their team of professionals.

4. LinkedIn Learning (formerly Lynda.com)

LinkedIn Learning offers a vast library of high-quality courses in business, technology, and creative skills, all aimed at helping learners achieve their personal and professional goals. This platform is amazing for instructors who want a driven audience with career-driven mindsets. It has a built-in base of college students and professionals who are passionate about learning new skills. To apply as an instructor, you need to include your LinkedIn profile’s URL, as well as the number of LinkedIn followers you currently have. As with the other applications, you will also have to fill out other information as well as answer several questions describing your course and its objectives. You will also have to provide a video sample of your course.

5. Domestika

For creatives looking for a community and a place to teach, Domestika is the go-to platform. It focuses on creative courses across various disciplines such as illustration, photography, and design. If you have an interest in teaching artists both discipline and artistic expression, you should strongly consider hosting your course here. Many artists come to Domestika to learn creative skills for their personal satisfaction and career ambitions. Make sure to include your course specialty, and then talk about your proposed courses. You can also include details about your experience and they can help with your specialty. The application for Domestika is fairly straightforward and can be found at the bottom of the page under “Ready to suggest a course?”. Just click the button “Teach a course” to open up the form.

6. Alison

Alison is a free online education platform that mainly focuses on workplace-based skills. It offers a wide range of free, comprehensive classes on technology, languages, science, financial literacy, personal and soft skills, entrepreneurship, and more. They have two applications for instructors. You can republish a course you’ve already published, or you can become a new course creator with them.

7. Udemy

Udemy is one of the largest global course marketplaces for learning and teaching online. It has an extensive selection of over 150,000 courses in various categories, taught by expert instructors. Udemy is an amazing option for launching your very first course. It’s a pretty easy platform for instructors to understand and it helps its instructors achieve success. If you want to get started with Udemy, you can apply with ease.

8. Coursera

Coursera partners with universities and organizations around the world to offer courses, certifications, and degrees in a variety of subjects, including engineering, data science, machine learning, mathematics, business, computer science, digital marketing, humanities, medicine, biology, social sciences, and others. If you are a teacher who is ready and excited to work with these institutions, then this is the perfect platform for you. It is recommended that you have a strong professional background if you want to submit your course to Coursera.

9. edX

EdX, a nonprofit organization created by founding partners Harvard and MIT, brings the best of higher education to students around the world. Edx offers MOOCs and interactive online classes in subjects including law, history, science, engineering, business, social sciences, computer science, public health, and artificial intelligence (AI). If you are developing a course that is comparable to college classes, this is an incredible place to publish it and grow an audience. However, high standards are held for these courses and it is not easy to get approved. Make sure you have a compelling application. You can start the process by filling out a form.

10. Skillshare

Skillshare is an online learning community with thousands of classes for creative and curious people. Their core topics include illustration, design, photography, video, freelancing, and more. It is probably one of the most popular and well-known sites to the general public, which means there is a strong demand for courses on this platform but also a lot more competition. With that, Skillshare is a great place to start publishing courses and refining your teaching skills.

11. Udacity

Udacity specializes in technology courses with a strong focus on computer science and programming. That makes this platform perfect for courses focused on teaching different coding languages and techniques. It also has a robust business course section for anyone interested in teaching business skills. For example, this is a great place to publish courses about product management and project management. Udacity is a bit trickier than other platforms. Right now, they are not really looking for new courses. However, they have a page dedicated to their course development process. You can also see the positions they are looking for currently.

12. FutureLearn

FutureLearn operates as a curated academic and professional course marketplace. Courses are developed in partnership with universities, colleges, and recognized industry organizations. This means that to publish a course on the platform, you must be affiliated with an approved institution. FutureLearn does not offer an open “apply to teach” page for individuals. Instead, institutions apply through the “Become a Partner” page on FutureLearn’s website. Once approved, staff or faculty members from those institutions are responsible for developing and delivering the courses.

As of 2025, FutureLearn hosts more than 1,300 courses across a wide range of subjects including healthcare, psychology, information technology, education, business, and language learning. The platform has over 22 million registered learners and continues to grow. Course formats vary from free short courses with optional paid upgrades to full microcredential programs and professional certifications. FutureLearn handles all course promotion, learner onboarding, and platform infrastructure, making it an ideal solution for educators within institutions seeking global reach and academic credibility. While not an open marketplace, it remains one of the most respected platforms in the online education space.

Summary

We hope you found our guide useful and good luck with your first course! This is our summary status for 2025, and we will try to update these regularly.

In a world where products get to market more quickly than ever, the very best tools can still go underused or misunderstood. Whether you are launching a breakthrough SaaS platform, an easy-to-use dashboard, or a niche enterprise tool, the success of your product boils down to one thing: how easily people can figure out how to use it.

That’s where product knowledge training comes into play.

In 2025, product training isn’t a one-time onboarding event. It’s no longer acceptable to expect customers to be productive after sitting through a one-hour training session. This is a core layer of your customer, partner, and employee experience. Done well, it reduces churn, accelerates time-to-value, drives product adoption, and may even fuel your support team.

This guide offers a pair of hot takes on everything you need to address when building out product training programs in 2025, with no fluff, jargon, or out-of-date advice.

What Is Product Knowledge Training?

Product knowledge training is any learning content or experience that helps people understand and use a product.

It covers:

How the product works

Its key features and use cases

Tips and tricks for power users

Real-world scenarios or workflows

Troubleshooting common issues

Where the product fits in an overall toolset, system, or job function

Who Is It For?

Product training primarily focuses on three main audiences:

Staff (new staff, sales people, support staff, engineers…)

Customers (users, admins, decision-makers)

Partners (resellers, consultants, third-party providers)

Types of Product Knowledge Training (with Examples)

There’s no universal formula for product training. It’s 2025, and the right content for the right person at the right time is available in a variety of formats.

Here are the primary types of product training and when you should use them:

1. Interactive eLearning Modules

These are formal courses hosted on a Learning Management System (LMS), most likely complete with quizzes, videos, and scenario-based exercises.

4. In-App Guided Tours

In product walkthroughs, you are guided through the process of exploring the product.

Use case

Example

Self-service onboarding, drive feature usage

A project-based task management application utilizes tooltips and modals to guide users through the process of creating projects or assigning tasks.

5. Documentation & Knowledge Bases

For users who like to learn by reading, it has searchable articles, screenshots and FAQs.

Use case

Example

Support, self-service learning

A cybersecurity platform has an extensive help center with API docs and troubleshooting guides.

6. Microlearning Nuggets

Short lessons based on one topic, action, or idea.

Use case

Example

Reinforcement, just-in-time training, and mobile learning

A mobile app sends short weekly videos on how to use lesser-known features.

7. AI-Powered Chatbots or Tutors

Conversational bots that guide users through common tasks or questions in real time.

Use case

Example

24/7 support, interactive onboarding

A fintech platform integrates an AI tutor to answer “How do I link my bank account?” in chat.

Why Product Knowledge Training Is Crucial in 2025

The stakes for clear, accessible product education are higher than ever. Here’s why:

1. Shorter Product Lifecycles

With frequent updates and new features, traditional user manuals are outdated before they launch. Training must be agile, modular, and easy to update.

2. Remote & Distributed Teams

Hybrid workplaces mean that in-person onboarding is no longer scalable. Online product training ensures consistency across geographies and roles.

3. Higher Customer Expectations

Buyers expect to “get it” fast. The quicker they find value in your product, the more likely they are to stick around. That’s why reducing time-to-value is a core KPI of product training.

4. Competitive Differentiation

Great training isn’t just about education—it’s about brand. A beautiful, engaging learning experience makes your product feel more professional, trustworthy, and usable.

The Core Benefits of Product Knowledge Training

Here’s what effective product training can do for your organization:

Benefit

Description

Improves Retention

When users know how to get value, they stick around.

Reduces Support Costs

Self-serve training reduces repetitive tickets and improves issue resolution.

Accelerates Onboarding

Employees and customers can get productive faster.

Boosts Feature Adoption

Training helps users go beyond the basics.

Builds Brand Authority

High-quality training reinforces professionalism and care.

Enables Scale

You can train thousands without hiring dozens.

Key Elements of a Successful Product Training Program

Let’s break down what separates great product training from forgettable videos.

1. User-Centered Design

Focus on what learners need to do, not just what your product can do. Every lesson should answer: “What’s in it for them?”

2. Clear Learning Objectives

Before creating content, define what the learner should be able to do. For example:

Navigate the dashboard

Run a report

Set user permissions

3. Modular Content Structure

Break large topics into digestible chunks. This allows for easier updates and better engagement.

4. Visuals and Interactivity

Don’t rely on walls of text. Use screen recordings, click-through demos, simulations, and gamified elements to keep attention high.

5. Multiple Formats

Not everyone learns the same way. Combine videos, articles, quizzes, and job aids for a well-rounded program.

6. Progress Tracking

Use LMS tools or built-in analytics to monitor completion rates, quiz scores, and common drop-off points.

7. Feedback Loops

Let learners give feedback on the training. Update based on what’s working and what’s not.

Real-World Examples of Product Training in Action

Here are some practical examples from different industries:

Duolingo created a specialized training path for teachers using their platform to track student progress and assign lessons.

The Role of AI in Product Knowledge Training

AI is no longer just a trend—it’s actively reshaping how product training is designed and delivered. Here’s how it’s being used in 2025:

1. AI Video Avatars

Tools like Synthesia enable companies to create video lessons using AI-generated presenters, making them ideal for quick updates or localization.

2. Automated Content Creation

AI can assist in drafting scripts, quiz questions, or converting help center articles into training modules.

3. Personalized Learning Paths

AI can analyze learner behavior and recommend the next lesson based on their actions or knowledge gaps.

4. Chat-Based Tutors

AI chatbots now offer real-time coaching during training, mimicking human interaction and support.

Source: According to Synthesia’s 2024 State of Instructional Design, over 60% of learning teams now use AI tools to accelerate course production and personalization.

Best Practices for Product Knowledge Training in 2025

Creating product training is one thing. Making it stick? That’s where the strategy comes in.

Below are the best practices organizations are using in 2025 to build product knowledge training that’s not only effective, but scalable, engaging, and designed for modern learners.

1. Design Around Use Cases, Not Just Features

Training shouldn’t feel like a product tour. Instead of walking learners through a list of features, center your modules on real-life goals and workflows.

Instead of:

“How to use the report builder”

Try:

“How to generate a monthly sales report for your team”

This approach improves retention and aligns with how people actually use your product.

2. Embed Learning in the Product Experience

In-app training provides help when users need it. By leveraging platforms like WalkMe, Pendo, or Appcues, teams can create tooltips, modals, and guided walkthroughs that are integrated within the product itself.

This is a “learning in the flow of work” model that minimizes friction, accelerates time to value, and ensures students never have to guess.

3. Tailor Content by Role or Persona

One-size-fits-all rarely works. Create targeted tracks for different audiences:

End-users need workflow tips

Admins need system setup guidance

Developers need API access or integration examples

Executives may only need usage dashboards

This ensures that everyone receives only the training relevant to their job.

4. Prioritize Mobile-Friendly, Bite-Sized Learning

Your learners are busy, and many are remote. Content that’s mobile-friendly and short-form performs better in today’s fragmented attention economy.

Break content into 3–5 minute chunks. Use responsive formats that work well on phones and tablets. A knowledge nugget delivered just-in-time is more effective than an hour-long video buried in a portal.

5. Use Micro-Assessments to Boost Retention

Mini quizzes, drag-and-drop exercises, and interactive scenarios improve knowledge retention. These also give you performance data to improve future iterations of your training.

Try incorporating:

Knowledge checks after each lesson

Scenario-based branching to simulate decision-making

Certifications for advanced learners

6. Leverage AI for Personalization

AI tools now make it possible to tailor the learning journey to the individual:

Recommend content based on product usage

Adapt the pace and content sequence based on learner behavior

Summarize long content into digestible key points

Translate or localize content with accuracy

This increases engagement and ensures relevance.

7. Update Content Frequently and Transparently

Your product evolves—so must your training. Create a process where training materials are reviewed and updated with each product sprint or quarterly roadmap release.

Notify users when content is updated and clearly label “last updated” dates on modules.

8. Measure What Matters

Don’t stop at course completions. Look deeper into:

Engagement time per module

Quiz and assessment scores

Search queries in your help center

Support ticket reduction rates

Use this data to refine, expand, or sunset training elements over time.

Pro Tip

These best practices aren’t just for big enterprises. Startups and scale-ups benefit even more because good training reduces onboarding load, improves customer satisfaction, and helps lean teams scale without burning out.

Building Your Product Training: A Step-by-Step Framework

If you’re starting from scratch or improving what you already have, follow this proven process:

Step 1: Define Your Audience

Are you training internal teams? External customers? Partners? Different audiences need different content.

Step 2: Audit Existing Resources

You may already have tutorials, webinars, or FAQs. See what can be repurposed.

Step 3: Prioritize Topics by Impact

Use product usage data or support tickets to find common friction points.

Step 4: Choose the Right Format

Decide whether each topic is best taught via video, live webinar, article, or interactive module.

Step 5: Storyboard or Script

Outline each module or video. Include examples, visuals, and checkpoints.

Step 6: Build and Test

Create your materials using eLearning tools (e.g., Articulate, Canva, or AI platforms) and get feedback from internal testers.

Step 7: Launch and Track

Deploy via an LMS or directly in-product. Monitor completion rates and iterate based on learner behavior to optimize learning outcomes.

What to Avoid in Product Training (Common Pitfalls)

Overloading with Features: Just because a feature exists doesn’t mean users need to learn it on Day One.

One-and-Done Training: Learning should be continuous, not a single event.

Ignoring Feedback: User insights can guide your next version.

Generic Content: Tailor training to actual use cases and user goals.

Outdated Material: Keep it fresh, especially when your product updates frequently.

Start Where You Are, Scale As You Go

Product knowledge training does not need to be fancy to be effective—it just needs to be effective: in other words, practical, accessible, and updated frequently. Whether you’re onboarding new customers, empowering your support team, or launching an academy for partners, your product is an integral part of your learning experience.

In 2025, the most effective training programs don’t overburden users — they enable them.

When your business is growing fast and onboarding lots of new talent, recent hires can get out of the loop — and any company can fall prey to bottlenecks that hold employees back from reaching their full potential. Training and online courses are common solutions, but are they right for you? This is the question a training needs assessment and analysis aims to answer.

We’ll run through how a training needs assessment works and the steps involved in conducting an analysis. Even though “training needs assessment and analysis” is a common first step in the training development process and used by instructional designers, any business owner or entrepreneur can use this framework to understand if and what training program is required to achieve a business goal.

What is a Training Needs Assessment and Analysis?

Now let’s break down both concepts:

A training needs assessment is an exercise that determines whether an organization has a need (defined as an area where performance isn’t as high as it could be).

Needs analysis goes one step further by examining the root causes of underperformance, and looking for solutions to help an organization close the gap. Each “need” is broken down into more detailed components to understand the best ways to address them.

By conducting a thorough analysis, organizations can prioritize training efforts, allocate resources more efficiently, and design training programs that are tailored to meet the unique needs of their workforce. This ensures that training is not just an arbitrary or one-size-fits-all solution, but a strategic tool that contributes directly to the organization’s goals and improves overall performance.

Why Use a Training Needs Assessment?

The average large company in the US had a training expenditure of $19.2 million in 2022, and the country’s total spending over $100 billion in the same year. That’s too much money to spend on training that doesn’t get results.

Organization Type

Large

Midsize

Small

Average

Education

$1,285,714

$1,680,000

$103,333

$1,069,000

Government/Military

$98,420,000

$1,643,774

$410,821

$14,860,700

Manufacturer/Distributor

$8,047,264

$1,211,538

$389,917

$3,528,449

Non-profit

$1,037,500

$648,636

$214,300

$537,120

Association

$8,900,000

$875,000

$100,000

$2,687,500

Retail/Wholesale

$5,000,000

$2,238,778

$519,033

$2,054,315

Services

$15,032,500

$1,491,489

$413,716

$3,418,755

Avg.
It’s crucial to ensure that any investment will tackle the root cause of a company’s issues and achieve real results.

How to Carry out a Training Needs Assessment

Essentially, training needs assessment boils down to the following four steps:

Analysis

Goal-setting

Root cause analysis

Solution-finding

We’ll run through each one.

1. Analysis

First, you need to understand your organization’s current situation. This is all about diagnosing the problem and understanding the complete picture.

Information you gather may include:

Whether current processes match desired processes

Performance of employees

Whether the firm is achieving its objectives

Observing the company’s processes and performances firsthand will provide some of this information. For instance, you might watch how a sales representative conducts a sales call and compare this to a maximum-performance approach.

You should complement this with firsthand accounts from employees (such as surveys or interviews) to gather their views on how things are going and what could be improved.

2. Goal-Setting

Once you understand how things stand today, you can move on to setting goals about what you need to change. These should focus on the issues identified in the stage above and align with the company’s interests, aiming to improve revenue in some way.

Since needs are the gap between current and optimum performance, closing this gap through training should have verifiable results.

Examples of goals could be:

Improved customer service

Employees completing a process more quickly

Avoidance of common errors that hurt performance

By setting a goal early on, you can later assess whether training was an effective solution by seeing what return on investment it achieved.

3. Root Cause Analysis

It’s easy to wave “education” or “training” as some magic bullet that will solve any problem a company faces. However, there are times when there may be another explanation as to why employees are underperforming or a company isn’t achieving what it wants.

Root cause analysis tries to cut through the noise to find out what’s really going on instead of assuming training will always be the answer. There may be a simpler and more cost-effective alternative — or you may want to take a two-pronged approach by using training alongside other solutions.

Some examples of true root causes of problems may be:

Poor management

Corporate culture issues

Inefficient processes

A lack of communication

Issues with software

It’s not always immediately apparent what the true root cause is, but it helps to determine whether a performance gap is due to a lack of skills and knowledge or if one of the above factors is playing a role.

You may want to talk to employees, managers, and anyone else involved to ascertain why they think the failure is happening.

4. Solution-Finding

Now you have a clear idea of your goal and why you have a performance gap in the first place, you can finally turn your attention to finding a solution.

Given you’re carrying out a training needs assessment, you likely have some idea that you want to use training or elearning as a solution, but try to approach this stage with an open mind in case there’s an alternative you could pursue. For instance, it might be a better option to choose new software or add (or remove) processes to make them easier for employees to follow.

Here’s how to approach different areas:

Motivation — is it due to a lack of knowledge and skills or the environment?

Skills — most likely need training

Knowledge — may be solved through a job aid

Cultural issues — may be tough to change through training

Other environmental issues — training can help but may need other solutions too

Occasionally, you might also decide that a training program wouldn’t yield enough benefits to pursue at all.

If you do decide that training is the right choice for you, great — you can start designing a curriculum to get your team up to speed. Often, organizations work with a third party to get this off the ground and develop a tailored learning experience rather than trying to handle everything internally.

Next Steps

Performance gaps can be a slow killer of business, so it’s crucial to be proactive about identifying and closing these gaps as quickly as possible. However, before developing any training, it is essential to conduct a training needs assessment to secure the best possible ROI. SkildLabs works with organizations to help them develop effective learning experiences, and assessing where a company is today is always our first step.
AI has recently taken the world by storm, and everyone has been leaping to test out its true capabilities. It can draw and write, but can it create a digital product as complicated as an online course? Is it possible to build a course with AI and ChatGPT?

While you wouldn’t want to rely entirely on AI to create a quality course, tools like ChatGPT can be beneficial in the general construction process. This article will guide you through the steps to make your online course with AI. This specific guide will focus on ChatGPT for course development because it is an open AI software that is free for anyone to use.

1. Asking for Course Ideas

One of the best ways to use AI is to ask for idea generation. AI is very good at taking vast amounts of knowledge and condensing suggestions into simple lists. As you can see from the images above, you can ask ChatGPT to compile a short list of recommendations for course ideas. You can also see that AI does come with its limitations. It is not particularly specific on how these courses would be profitable outside of vague generalities, but its suggestions are still sound. Some would just take more work to generate income than others. For this article, let’s continue with the personal finance course idea.

2. Getting Specific with Course Topics

If you aren’t happy with the generality of ChatGPT’s answer, you can press it on specific topics, and it will do its best to expand. As you can see, you can ask ChatGPT what specific personal finance topic the course should focus on, and it gives several strong ideas. For this example, let’s build a retirement planning course.

3. Creating a Module Outline

Creating module suggestions is where the strengths of ChatGPT really begin to shine. It can immediately create a comprehensive module outline for a course on retirement planning. Using ChatGPT for course development is a fantastic way to streamline ideas and develop a solid outline. Of course, you should always have separate research done to verify the accuracy of AI, like ChatGPT. Building a course with online AI can go awry, especially for niche and specific topics, if you do not have fact-checkers.

4. Expand into Sub-Modules

Most AI, like ChatGPT, also has excellent memory retention, so you can ask it to expand the list of course modules and add separate sub-modules. It remembers the list of course modules previously generated and adds some short ideas for sub-modules.

5. Adding a Module and Sub-Module

Say you notice the AI omitted a topic you consider essential, like family planning. You can ask it to include another module in the list.

6. Writing Course Content

Of course, the most critical test is if ChatGPT can generate course content, not just ideas for course content. As you can see, you can ask ChatGPT to write a script of a specific length for one of your modules.

Although the results are not perfect, as you can see that the AI cuts off abruptly at the very end, they are extremely impressive. The writing doesn’t sound stilted and covers much ground without being too repetitive. After a few tests, it does struggle the more you increase the word count, so it’s not a perfect solution. You can also ask it to expand on specific points and then add that expansion into the larger script. While this might not be the best way to generate a genuinely competitive course script, it is a great way to form a rough foundation of what you want the course to look like. You can enhance this draft for your specific style and unique audience.

7. Creating Course Descriptions and Marketing

Another creative way to use AI in course creation is to help with course descriptions. As you can see, ChatGPT can come up with a pretty energetic and specific course description. It can also create marketing material, like ideas for a promotional Tweet.

8. Using Other AI to Voice Your Script and Make Visuals

So, once you have used AI to generate the script for your course, can you also use it to voice your script? The surprising answer is yes. Several useful programs will take your writing and have an AI read it using your voice based on the samples provided.

Using Descript for Overdub Recordings

One of the most popular programs is Descript. Descript is a cutting-edge audio and video editing tool that uses AI to transcribe and edit multimedia content. With Descript, you can easily edit your audio and video content like a text document. It is straightforward to cut, copy, paste, and rearrange your content. It has a pretty advanced AI that lets you edit content by editing the text transcription of the audio or video file. With Descript, you can search for specific words or phrases and find the exact moment in the recording where you spoke those words. This trick saves an incredible amount of time.

One of the unique features of Descript is its ability to create “overdub” recordings. This feature allows you to add new voiceover content to your existing recordings, even if the new content wasn’t included initially. While you can use this ability to have an AI read out the entire script in your voice as a model, it’s typically better to just record a take and then use Descript to add short sentences or fix mistakes. Descript’s software is incredibly advanced but has limitations and can sound off-putting if used for the entire script without enough voice samples to model.

Using Synthesia and Elai for Visuals

There are also several alternatives to Descript, like Synthesia and Elai. These tools don’t use your voice as a model but instead use stock voices and human avatars, which are suitable for courses that want a human-like visual.

Synthesia is a powerful online tool that uses AI technology to generate realistic, human-like animations of characters and text automatically. Many businesses use it to create explainer videos, tutorials, or presentations. With Synthesia, users can quickly create professional-looking videos without needing any design or animation skills. There are many customization options, allowing users to choose from different characters, backgrounds, and even languages. Elai is a similar tool that acts in much the same way. It is newer than Synthesia, so it is less established, but it has many of the same perks and benefits.

Can you build a course by solely using AI?

Hopefully, this guide has shown you what a powerful tool AI can be in course creation. AI has already been used to develop and enhance online courses in numerous ways. One widespread use is AI-powered algorithms that can analyze student performance data and make personalized recommendations for study materials. Additionally, AI can go beyond creating scripts and generate more interactive aspects of a course, like quizzes or other learning activities.

While AI can be a powerful tool in creating and enhancing online courses, it cannot fully replace the expertise and experience of human instructors and designers. AI has limited domain expertise. It is built to be a general-purpose language model, meaning it knows a lot about many topics but lacks in-depth expertise in specific subjects. Because of this, a course built solely with AI will lack a lot of important nuances and obviously cannot provide knowledge gained through life experience. You should use AI to supplement and enhance the work of course creators. As long as its work is checked over and revised, AI can improve course development and streamline the process for creatives. Specifically, AI can ensure consistent quality of content, as it can produce content free of errors, typos, or other inconsistencies.
